![SEO reporting diagram linking Visibility, Enquiries and Qualification.](https://digitalconsultingventures.com/hubfs/09.svg)

Your SEO report shows rising traffic and more enquiries. The sales team says most enquiries are job applications or requests outside the service area. Both reports can be accurate: one measures activity, while the other is describing fit.

An outsourced SEO reporting brief should define the path from search visibility to commercial progress before choosing dashboard charts. The five-layer specification below is a proposed management tool. It helps a buyer ask better questions without implying that every lead can be linked to an individual search query or that SEO caused a sale.

## Agree what a qualified enquiry means

Write a rule the sales and marketing teams can both apply. For a fictional business, a qualified enquiry might require an identifiable organisation, a relevant service need and permission to continue the conversation. The actual rule must reflect your business and lawful data practices.

Document exclusions such as spam and job applications. Define a duplicate as a repeated submission for the same underlying request under the report's agreed rule; a reviewer should merge or link those records without erasing their references or original creation date. Different requests from the same organisation are not automatically duplicates. Keep exclusions distinguishable rather than deleting inconvenient results to improve a percentage. Name the person who applies the qualification rule and record a qualification-as-of date, using the same status snapshot for both page groups.

## Specify five layers of evidence

| Layer | Question and metric | Source | Definition and limitation | Possible action |
| --- | --- | --- | --- | --- |
| Search visibility | Where did impressions and clicks change? | Search Console | Search performance, subject to reporting limits; not individual lead identity | Inspect relevant pages and query groups |
| Relevant organic landings | Which service-related pages received organic sessions? | Web analytics | Agreed channel and page grouping; consent and collection affect coverage | Review landing-page relevance and usability |
| Enquiry actions | Which measured enquiry events occurred? | Validated analytics and form or booking records | Define the actual action; a button click may precede abandonment | Check the journey and event implementation |
| Qualified enquiries | How many met the agreed fit rule? | CRM review | Same enquiry IDs under the declared attribution rule; qualification, duplicates and unknowns documented | Review fit and messaging with sales |
| Commercial progress | Which qualified enquiries advanced? | CRM stages and sales records | Reporting date and sales-cycle lag matter; attribution is limited | Investigate bottlenecks and follow-up |

[Search Console's performance documentation](https://support.google.com/webmasters/answer/7042828?hl=en) defines its search metrics. Google's guidance on [using Analytics and Search Console together](https://developers.google.com/search/docs/monitor-debug/google-analytics-search-console) explains why clicks and sessions differ. Do not force the two counts to match by altering definitions without explanation.

## Define the same enquiry cohort across systems

Choose and document an attribution rule before joining enquiry quality to page performance. One illustrative rule uses the enquiry-creation session: include a unique enquiry only when the existing, approved form or booking record retains validated source/medium and landing-page evidence for that session, classified as organic search under a documented channel rule and mapped to one service-page group. Fix the creation-date reporting period, time zone and page-group definitions. This is a proposed reporting rule, not a Google default or a claim of causation.

Use a stable enquiry reference inside the approved form, booking and CRM systems to carry that same record through qualification and later sales stages. Do not infer a match from similar timestamps or connect a person to Search Console query data. If the current integration does not retain lawful, reliable source and landing-page evidence, keep the enquiry in an unlinked or unknown-source bucket. Do not invent an attribution link or introduce new tracking permissions to make the report look complete.

Show coverage explicitly: all unique enquiries, those with usable source evidence, those assigned to an organic page group, unknown sources, and qualification status as of the declared review date. Keep pending qualification separate from rejection. If records cannot be linked reliably, report web-analytics activity and CRM qualification as separate datasets instead of presenting a joined conversion rate. Under this rule, an enquiry created during a later direct session is not assigned to organic search merely because the person may have visited through search earlier. Cross-device and unobserved activity remain limitations. Keep personal details and the operational enquiry reference out of analytics payloads; preserve existing consent and privacy controls.

## Use an example that exposes the denominator

Suppose the same defined creation-period cohort contains 20 unique enquiries assigned to each of two fictional organic landing-page groups under the creation-session rule above. Every one of those 40 records has a completed qualification review using the same rule: an identifiable organisation, a relevant service need and permission to continue the conversation. Group A has 12 qualified enquiries; group B has three. Their observed qualified shares are 12 divided by 20, or 60%, and three divided by 20, or 15%. Report unknown-source enquiries separately; if qualification is pending, show that count rather than silently treating it as a rejection.

Those numbers suggest questions, not a proven cause. Are the page groups addressing different buyers? Did one include existing customers? Are qualifications complete? Are the counts too small to guide a large decision? Preserve unknown statuses and show the reporting lag before recommending an investment change. These are teaching figures, not DCV results.

## Validate the journey before trusting the conversion count

Check what each event means. A booking-button click, a booking-page visit and a completed meeting booking are different events. Use an authorised test route to confirm what actually fires, and keep test records distinguishable from real enquiries.

[GA4's recommended-event guidance](https://support.google.com/analytics/answer/9267735?hl=en) distinguishes lead-related events, including generating and qualifying leads. Implementation should follow the organisation's consent and privacy requirements. Avoid sending personal information in analytics payloads or treating analytics as a complete record of every customer interaction.

## Turn the report into a decision

End each reporting period with the observation, its limitation, the proposed action and an owner. For example: “Relevant organic landings increased, but qualification is incomplete for the newest cohort; sales will complete the review before we change the content plan.” That is more useful than a green arrow beside an unexplained number.

When considering the outsourced marketing and SEO capabilities described on [DCV's website](https://digitalconsultingventures.com/), bring this reporting specification to the scope discussion. Agree definitions, source access and review responsibilities before setting performance expectations.
